Monthly Partner Meetings as a Key Quality Assurance Mechanism in the STAY Project

Regular communication is one of the most important elements of successful international project cooperation. Within the STAY – Skills for Thriving, Agency and Youth Engagement project, monthly partner meetings have become an important mechanism for monitoring progress, maintaining the quality of project results, and ensuring that all partners remain aligned throughout implementation.

Held online every month, these meetings provide the partnership with a structured opportunity to review completed activities, discuss ongoing tasks and jointly plan the next steps. Rather than serving only as coordination meetings, they also function as a practical quality assurance mechanism.

During each meeting, partners review the progress of project activities against the agreed work plan, identify potential delays or implementation challenges and agree on corrective actions where necessary. This regular monitoring makes it possible to address issues at an early stage, before they can significantly affect project deadlines or the quality of final results.

The meetings are also particularly important for the development of STAY’s project outputs. Partners are able to exchange feedback on draft materials, discuss methodological and content-related questions and ensure that the developed tools remain relevant, practical and understandable for their intended users.

This collaborative approach is especially valuable when working within an international partnership. Each organisation brings different experience, perspectives and knowledge of its national context. Monthly discussions allow these different perspectives to be incorporated into the development process while maintaining a common project direction and shared quality standards.

Another important element is clear distribution of responsibilities. At the end of each meeting, partners agree on upcoming tasks, responsibilities and deadlines. This helps maintain transparency across the partnership and enables continuous monitoring of implementation between meetings.

Regular meetings also contribute to stronger cooperation between partner organisations. Open discussion of challenges, progress and expectations creates a working environment in which partners can react quickly, support one another and make decisions jointly.

For the STAY partnership, quality assurance is therefore not something that takes place only at the end of the project. It is an ongoing process embedded in everyday project management.

By meeting every month, reviewing progress and continuously exchanging feedback, the partnership ensures that project activities and results remain aligned with the objectives of STAY and respond effectively to the needs of young people and professionals who will use them.

Continuous communication, shared responsibility and regular quality checks are helping STAY turn good project planning into high-quality project results.
